Task Purpose

In this task, learners will construct a process flow diagram representing the procedures for ensuring effective warning and safe escape in a fire or emergency situation. The aim is to visually structure a complex series of procedures into a clear and sequential workflow. This process will help learners understand the interaction between emergency detection, warning systems, evacuation planning, and the inspection of escape equipment.
Learners will be provided with a scenario, relevant documents, and sample checklists to support the process construction. They will then create a flow diagram that represents the logical steps to ensure that occupants are warned promptly and can escape safely.

Scenario for Learners

You are appointed as the Fire Safety Officer for a multi-storey office building. Your role is to ensure that all emergency warning systems and escape routes are effective, comply with regulations, and are regularly inspected.
The building has:

  • 5 floors with office spaces, meeting rooms, and a cafeteria.
  • Fire alarm system with sounders and visual strobes.
  • Emergency lighting in corridors and stairwells.
  • Fire doors and marked escape routes.
  • Evacuation assembly points outside the building.

Your task is to construct a process flow diagram that shows the full procedure from detecting a fire or emergency to completing a safe evacuation and post-event inspection.

Step 1: Identifying Key Processes

Learners will first identify the essential processes involved. As a guide, these can include:

  • Fire detection and alarm activation
  • Communication to occupants
  • Initiation of the building’s evacuation plan
  • Verification of escape routes and emergency lighting
  • Coordination with fire wardens or emergency personnel
  • Evacuation to assembly points
  • Post-evacuation checks and reporting

The purpose is to ensure all steps are represented logically in the process flow.

Step 2: Process Flow Construction

Learners will:

  • Begin with incident detection (e.g., smoke detector or manual call point activation).
  • Show automatic or manual alarm activation, including sounders and visual alerts.
  • Include occupant notification and initial response, such as instructing employees to follow evacuation procedures.
  • Map out movement through escape routes, ensuring that learners indicate how routes are inspected and verified as safe.
  • Highlight the role of fire wardens in guiding occupants and checking areas.
  • Indicate use of emergency lighting and signage, showing the checks required to ensure equipment works correctly.
  • Show reaching assembly points and verifying headcounts.
  • Include post-evacuation inspection and reporting, such as checking for issues, recording any equipment failures, and updating risk assessments

Learners should use symbols for start/end points, processes, decision points, and inspections to make the diagram professional and clear.

  • Ensure your diagram demonstrates:

    o Checks on emergency escape equipment
    o Interaction with fire wardens or responsible personnel
